• Every phase of the Special Education process, from referral to printing and distributing a custom Individualized Education Plan is managed, documented and recorded. The integration of the Core Student Information System with the Special Education Management Module means all student information is automatically kept accurate up to the minute.
• Our fully integrated Special Education Management Module tracks and reports all aspects of a student’s time in Special Education.
• Students are assigned case managers, and districts then use the extensive security system to determine which members of the team have access to the student.
• Case mangers use a student summary screen for quick access to basic student demographic and contact information. This screen also lets the case manager confirm that child is in school and based on the child’s schedule, where they are at any given moment.
• Tasks such as initial & annual reviews, reevaluations and manifestation determinations are treated as individual events and all the related documents, evaluations, surveys, communications and meetings related to that event are organized and saved within that event and listed in the student’s historical log.
• Additional events such as changing case manager and documenting parent conversations are added to the history of the child, providing administrators and future case mangers a timeline of the student’s time in special education.
• Each event type has a specific outline to establish and track the required notices, meetings and due dates required by state and federal law. A color-coded warning system is used to alert case managers & administrators of upcoming or pending due dates.
• Events are stored perpetually allowing current case managers to look back at prior events and the evaluations and documents within them. As students leave Special Education they are marked as inactive so that the events can still be accessed or are available if the student reenters special education.
• Evaluations or other documents may be uploaded as PDFs and attached to the event.
• As meetings are scheduled, editable invitations to parents are generated automatically along with appropriate forms and documents for each event type. Internal notification is sent to the appropriate teachers and staff informing them of the meeting.
• This same notification system can be used to notify case mangers when a student has received disciplinary action, changed their course schedule, or to inform teachers when a new IEP has been posted for one of their students..
• Multiple IEP formats provide CST the option to choose different data entry methods (free type, drop down, check box) and default language for preschool, elementary, middle school and high school as well as speech and out of district.
• Online surveys (PLAAFP, modifications, behavior plan) are provided to teachers and staff. Once completed and returned, these surveys are combined and automatically inserted into the appropriate pages of the IEP for further editing by the case manager.
• The system allows multiple concurrent or consecutive programs within an IEP, each with different modifications, goals and objectives. For instance, a concurrent program might include high school in the morning and vo-tech in the afternoon, while a consecutive program might include the end of the current year, summer program, and beginning of next year.
• The entire New Jersey Core Content Standards is included within the Goals and Objectives section, arranged in a hierarchy by grade, allowing the system to suggest goals based on a student’s mastery of prior goals. Thousands of additional goals are provided including related services (OT, PT & Speech). Personalized goals may be entered for one time use by a student, or added to the master list.
• Pages of the IEP are numbered by section allowing one section to be reprinted without having to reprint the entire document. Flexible printing options also provide the option to print IEPs with a “draft” watermark.
• Reporting tools allow administrators to drill down by location, or for CST to view the status of individual cases, surveys and evaluations and to print reports listing open assignments by staff member.
• IEPs are finalized with either a posted & implemented status or as pending with a future implementation date. Listings of services included within IEPs can be run for either status allowing administrators to view the services promised for the pending IEPs.
• Implemented IEPs are available for online viewing by appropriate staff members (with date and time stamp), either as the entire document, or via a table of contents allowing direct access to specific sections. Security restrictions are available to limit viewing of sections by role or position..
• Prior to posting a specific IEP, a listing of the significant year to year changes may be viewed as a way of reviewing the changes for that student. In addition, districts have the option of requiring all IEPs be “reviewed” by a supervisor prior to a final posting and updating of the student’s status screen.
• Services entered on the IEP automatically update the student status screen which assures that federal and New Jersey reports (including NJ Smart) always equal the information contained within the implemented IEPs.
• Teachers complete online recording of student progress toward goals and objectives as required by the district. Students need not be on the same reporting schedule. Student progress can then be printed as a progress report or viewed online via the family portal.
